Role Purpose

The Administration and Human Resources Assistant will provide professional administrative and HR support to the Kano field office, under the leadership of the HR & Admin Officer. This role includes supporting the effective implementation of activities, covering front desk duties, arranging travel and meetings/workshops, and more.

Administration and Human Resources Assistant Key Responsibilities

General Administration:

  • Coordinate and monitor the usage of office equipment and supplies, ensuring everything is in working order and promptly reporting any issues.
  • Maintain an office equipment tracker and request repairs or replacements as needed.
  • Keep the front desk tidy and presentable with necessary materials (e.g., pens, paper, visitors form).
  • Ensure external guests are promptly attended to and minimize prolonged stays at the reception.
  • Provide workspaces and relevant supplies for SCI staff visiting the Kano office.
  • Support event planning and coordination for workshops and events, including booking venues, setting up conference calls, and sharing action points.
  • Disseminate formal communications to staff as directed by the Line Manager.
  • Maintain clean and organized meeting rooms for guests and staff.
  • Take minutes of weekly staff meetings and prepare meeting agendas.
  • Assist the Team Leader with diary and inbox management, arranging meetings, and dealing with enquiries.
  • File relevant materials and documents.
  • Supervise office assistants and cleaners to ensure the office premises and guest houses are clean and well-maintained.
  • Ensure the availability of cleaning items and toiletries.
  • Keep the Kano office well-equipped with necessary supplies (consumables, stationery, etc.).
  • Comply with Save the Children quality standards, global policies, and guidelines.
  • Purchase small office supplies from petty cash and process invoices and expense claims as required.
  • Maintain and update the staff movement board.
  • Perform other duties and responsibilities as assigned by the Line Manager.

Store Management:

  • Assist in managing stationery and consumable stores effectively.
  • Provide supplies to staff as requested.
  • Issue and support requested items for training/workshops based on training forms.
  • Manage the gift register.

Travel Arrangement:

  • Coordinate local flight and hotel bookings for program team members and visiting staff.
  • Liaise with hotel facilities to find the best options available and ensure value for money.
  • Ensure timely processing and payment of invoices for consultants, vendors, and service providers, in accordance with SCI terms.

Other Responsibilities:

  • Provide cover for HR & Admin and Supply Chain department colleagues during leave or increased field office activities.
  • Manage the Admin Department’s petty cash, ensuring availability and timely retirement, and zero tolerance for unapproved claims.

Human Resources:

  • Support in maintaining personnel filing systems for the HR/Admin department.
  • Assist the HR Officer with volunteer recruitment across thematic programs.
  • Follow up on recruitment documents with the Country Office and Field HR focal persons.
  • Maintain all recruitment documentation in line with SCI guidelines.
  • Track probation periods and prepare confirmation letters as required.
  • Ensure compliance with Save the Children policies and procedures, including child safeguarding, code of conduct, anti-harassment, fraud policy, equal opportunities, and other relevant policies.


  • Education: HND/B.Sc. in Social Sciences or a relevant field of study.
  • Experience: Minimum of one year of relevant work experience. Must have an NYSC discharge certificate/exemption certificate.
  • Skills:
    • Excellent planning and organizational skills with proven administrative abilities.
    • Ability to manage competing priorities in a constantly changing environment, meet deadlines, and work calmly under pressure.
    • Strong time management and diary management skills.
    • Vendor management capabilities.
    • Excellent interpersonal and communication skills, both written and verbal, with fluency in English. Understanding the local language is a plus.
    • Strong teamwork abilities, with the capacity to support colleagues and request support when needed.
    • Commitment to Save the Children’s mission, vision, and values.
    • Computer literacy and proficiency in Word, Excel, and Outlook.

Job Summary

The Nurse will improve the health of the targeted population by providing quality curative and preventive health care. Responsibilities include triaging patients, ensuring smooth patient flow, providing clinical care, assisting with referrals, and offering health education and hygiene promotion. The role may require assisting Health staff in other capacities as needed. Essential functions must be performed with or without reasonable accommodation.

Main Tasks and Responsibilities

  • Clinical Nursing Services: Deliver nursing care according to internationally accepted standards.
  • Assist Healthcare Team: Support clinicians, midwives, laboratory, vaccination, and pharmacy staff in their duties.
